Brand-New G Suite: Google Workspace

Google announced a significant new change to its productivity suite of office apps on 6 October 2020, rebranding G Suite with a new name: Google Workspace. In this time, more advanced features are added and tighter integration is provided between the core applications of G Suite, including Gmail, Docs, Sheets, Slides, Drive, Calendar, and Meet, particularly in collaboration. Google is also providing a broader range of pricing options to fulfill the business needs of each company.

G Suite vs Google Workspace

The three editions of G Suite: Basic, Business, and Enterprise, have been rebranded and renamed to Google Workspace with seven editions.

  • Business Plan: Business Starter, Business Standard, and Business Plus
  • Enterprise Plan: Enterprise Essentials, Enterprise Standard, and Enterprise Plus
  • Frontline

The new changes are listed as follows:

Storage Limits

30GB for G Suite basic, unlimited storage for G Suite Business and G Suite Enterprise; while for Google Workspace: 30GB for Business Starter, 2TB for Business Standard, 5TB for Business Plus, 1TB for Enterprise Essentials, 5TB for Enterprise Standard and Enterprise Plus.

Unlimited storage is no longer available. However, it should be more than enough unless too many large files for audio and video are uploaded.

Storage Changes: Pooled Storage

In the past, the storage that is assigned to each user cannot be shared among Google Workspace users. Now, Google Workspace offers pooled storage to share across the organization (not applicable for Business Starter).

For example, if 10 users subscribe with Business Standard, you get 20 TB of storage (10 users x 2 TB) of pooled storage that’s shared across your organization. In other words, one user may use more than 2TB as long as the pooled storage is enough. This actually helps the organization to fully use the storage.

If your organization needs more storage, you can either add more users or upgrade to another Google Workspace subscription that offers more pooled storage.

User Account Limits

There are no user account restrictions for G Suite. After the rebranding, Google Workspace introduced a limit on the number of users. For the Business plan (Starter, Standard, and Plus), the account limit is up to 300 users, while for the Enterprise plan (Essentials, Standard, and Plus), there is no account limit. Therefore, you need to subscribe to the Enterprise edition if you have more than 300 users.

Google Vault

This feature is available in Business Plus, Enterprise Standard, and Enterprise Plus. The Vault is an information governance and eDiscovery tool for Google Workspace, which can retain, hold, search, and export users’ Google Workspace data related to a specific eDiscovery project, such as a litigation case or investigation.

Integration of Gmail, Chat, Spaces and Meet

Gmail integrates Google Chat, Spaces and Meet, providing a central place to communicate with colleagues. There’s also a new release to improve collaboration when using Google Workspace. Users can collaborate on shared Google Docs, Sheets and Slides with team members directly in Spaces without switching tabs.

New Edition Released for Frontliners: Google Workspace Frontline

Google Workspace Frontline was launched in April 2021. Not only will it save companies money, but it will also allow Frontline employees to use collaboration and communication tools to work with their team even when they are away from their desks.

AppSheet is Available for Enterprise Plus Users at No Cost

AppSheet is a no-code application development platform. Google Workspace Enterprise Plus users can use AppSheet Core features for free. They can also share applications with users in the same organization at no additional cost. The free version of AppSheet is available for all Google Workspace subscriptions and enables application prototyping and testing.

Security Enhancement of Google Meet

New safety features:

  • Participants who have been removed from the meeting room won’t be able to attempt to join the same meeting again unless the host re-invites them.
  • The chat lock and present lock will let hosts control which attendees can chat and present within the meeting.

Security Enhancement of Google Chat

Google Workspace has also improved the security of Chat. We are extending the strong phishing protections we have built within Gmail to Chat. If a link is sent to you via Chat, it will be checked against real-time data and flagged if it’s found to be malicious.
